The graphic below can be used to help identify features and hardware on your 7945 or 7965 desk phone. The 7965 has six lines, the 7945 has only two. 
 

Using the Buttons on Your Cisco IP Phone

The following buttons are located on the Cisco IP 7945 and 7965 phone sets:

Help Button

Help After pressing Help, select another key that you want more information about. An explanation will appear on the screen.

Navigation Pad w/Select Button

Navigate & Select  This is a 4-way navigation pad with a select button in the center. Scroll through menus and highlight items which you can then select

Messages Button

Messages Instant access to your voicemail box. This button accesses the voicemail box for the PRIMARY line on the phone. 

Directories Button

Directories Instant access to missed, received and placed call logs. This button also accesses the ND & Personal Directories.

Services Button

Services This button provides login access to the features added to the line, such as Extension Mobility, UCCX, MeetingPlace Phone View, etc.

Settings Button

Settings Instant access to configuration settings such as user preferences and device configuration settings. 

 

Using the Softkeys on Your Cisco IP Phone

The following information reviews the different softkeys that are available when your phone is onhook, offhook, receiving an incoming call or has a call in progress. These softkeys change for each scenario.

Call Transfer

On Campus Call Transfer (Internal Extension Transfer):

  1. With a call in progress, press the Transfer softkey
     
  2. Dial the extension that the call is being transferred to
     
  3. When you hear ringing on the destination line:
  • Press the Transfer softkey to complete the call transfer
     
  • When the party answers, announce the call and then press Transfer to complete the transfer
     

Off Campus Call Transfer (External Number Transfer):

  1. With a call in progress, press the Transfer softkey
     
  2. Dial 8 followed by the full telephone number (including area code if long distance) (e.g., 8 269 683 1234)
     
  3. When you hear ringing on the destination line:
  • Press the Transfer softkey to complete the call transfer
     
  • When the party answers, announce the call and then press Transfer to complete the transfer
     

Return Caller When Busy or No Answer:

  1. Press EndCall softkey
     
  2. Press Resume softkey
     


Dialing Options

Dialing Off Hook:

  1. Lift handset
     
  2. Dial an extension or number
     

Dialing On Hook:

  1. Press Speaker to access speakerphone
     
  2. Dial an extension or number


Pre-Dialing:

  1. Dial and extension or number
     
  2. Lift handset or press the Dial softkey
    Dial softkey will initiate the call on the speakerphone

 

Hold

To Hold:

  1. During a call, press the Hold softkey
     

To Retrieve a Call on Hold:

  1. Press the Resume softkey

     

Redial

To Redial Last Dialed Number:

  • Press the Redial softkey
    Call initiates on speakerphone
     
  • Lift handset and press the Redial softkey

     

Call Waiting

While on an active call, and a second call comes in, you will hear a beep and the ID of the second call will appear on the display.

To answer a second incoming call:

  1. Press Answer softkey
    This automatically answers the second call and places the first caller on hold
     

To return to the original call:

  1. Press the EndCall softkey or allow the caller to hang up first
    The original caller remains on hold
     
  2. Press Resume softkey to connect to the original call

 

Using iDivert During an Incoming Call

During an incoming call, press the iDivert softkey to immediately move the call to your voicemail box

 

Do Not Disturb (DND)

Use the Do Not Disturb button on your phone to mute your phone’s ring for future incoming calls. 
Instead of a ring you will hear a brief beep and will see the incoming call on the LCD panel.

You may answer the call or allow the call to roll to voicemail.

Turning DND On/Off:

  1. Press More softkey
     
  2. Press DND softkey
     

You can adjust the DND settings so that calls are rejected. You may also adjust the way that your phone alerts you of an incoming call during DND (flash, beep, etc.). To adjust these settings, logon to the VoIP Phone Web Portal and review the settings for your desk phone (your desk phone will be the SEP device listed)

 

Call Join

When on an active call, you can "Join" two calls together to create a three-way conference call.

To Join Calls:

  1. Place the active call on Hold
     
  2. Press the New Call softkey
     
  3. Dial second caller’s extension or number

If second caller calls you:

  • Press the Answer softkey
    This automatically places the first caller on hold
     
  • Press the More softkey until Join displays
     
  • Press Join
     
  1. Use the Navigation up/down key to select first call on your phone display
     
  2. Press the More softkey until Join displays
     
  3. Press Join to join the calls together

     

Accessing ND Directory

  1. Press the Directories button
     
  2. Using the navigation up/down key, scroll down to ND White Pages 
     
  3. Press Select softkey
     
  4. Perform a search using all or parts of a contacts first name, last name or 5-digit extension
    Searching for less is likely to yield more results.  Try searching the first few letters of a contacts last name to display more results
     
  5. Press Submit softkey
     

Results will display on the screen.  You can use the navigation up/down key to highlight and dial from the results list
 


Call Forwarding

Forward all incoming calls to another number or your voicemail.

Activate Call Forward:

  1. Press the CFwdALL softkey
     
  2. Dial the extension or number you want calls to forward to
    For an off-campus number, dial 8 followed by the external phone number (include area code if long distance) then the number
     

Deactivate Call Forward:
 

  1. Press the CFwdALL softkey

 

Changing Ringtones

  1. Press the Settings button
  2. Press 1 for User Preferences
  3. Press 1 for Rings
  4. Choose the ring setting to modify, or press 1 to select your default ring tone
  5. Use the Navigation button to scroll through the list of ring types. Press the Play soft key to hear samples
  6. Highlight the ring you want, and then press the Select soft key
  7. Press the Ok soft key to select your setting
  8. Press the Save soft key to save the setting, or press Cancel to exit to the previous menu without changing the setting
  9. Press the Exit soft key to go to the main directory menu

Changing Backgrounds

  1. Press the Settings button
  2. Press 1 for User Preferences
  3. Press 2 for Background Images
  4. Use the Navigation button to scroll through the list of background images. Press the Select soft key to set an image to your background
  5. Press the Save soft key to save the background settings, or press Cancel to exit to the previous menu without changing the setting
  6. Press the Exit soft key to go to the main directory menu
