Generic instructions for any IMAP email program

  1. Change your password on the Notre Dame password change page.
  2. Enable POP/IMAP access for your Notre Dame Gmail account.
    • Sign in to Notre Dame Gmail.
    • Click Settings at the top of any Gmail page.
    • Click Forwarding and POP/IMAP.
    • Select Enable IMAP.
  3. Set up your email client using the instructions that Google has provided for your client.

Mac Mail

To configure for IMAP, please follow these steps:

  1. Click Mail > Preferences....
  2. On the Accounts tab, click the + button to add a new account.
  3. Fill in the new window with the following information:
    • Full Name: [your name]
    • Email Address: your full email address [yournetid@nd.edu]
    • Password: your Notre Dame password
    • Important: deselect the box next to 'Automatically set up account'
  4. Click Create.
  5. Fill in the following Incoming Mail Server information:
    • Account Type: Select IMAP
    • Incoming Mail Server: Change this to: imap.gmail.com
    • User Name: your full email address [yournetid@nd.edu]
    • Password: your Notre Dame password
  6. Click Continue.
  7. Enter the following Outgoing Mail Server information:
    • Outgoing Mail Server: smtp.gmail.com
    • Use Authentication: selected
    • User Name: your full email address [yournetid@nd.edu]
    • Password: your Notre Dame password
  8. Click Continue.
  9. Review your Account Summary, and click Create.
  10. Check Google's recommended client settings, and adjust your client's settings as needed.

Thunderbird

Note: if you're using an older version of Thunderbird, we highly recommend upgrading to the most recent version.

To set up your Thunderbird client to work with Gmail:

  1. Enable IMAP in Gmail. Make sure you click Save Changes when you're done.
  2. Open Thunderbird, and select Create a new account.
  3. Click Skip this and use my existing email button at the bottom.
  4. Enter your full name in the Your Name field. Enter your Notre Dame email address (yournetid@nd.edu) in the Email Address field, and your account password in the Password field.
  5. Click Continue.
  6. Select IMAP as the type of incoming server you are using.
  7. Click on the Manual config button.
  8. Set the Incoming Server Hostname to imap.gmail.com, set the port to 993, select SSL/TLS and Normal Password for the Authentication.
  9. Set the Outgoing Server to smtp.gmail.com, set the port to 587, select STARTTLS for SSL and Normal password for Authentication.
  10. Enter your full email address (yournetid@nd.edu) Username field.
  11. Click the Done button.
  12. Check Google's recommended client settings, and adjust your client's settings as needed.

Outlook 2007

To set up your Outlook 2007 client to work with Gmail:

  1. Open Outlook.
  2. For new setups, select Do not upgrade.
  3. Click Yes.
  4. Enter your display name, email address (yournetid@nd.edu), and your Notre Dame password.
  5. Select the 'Manually configure server settings or additional server types' checkbox.
  6. Select Internet E-mail.
  7. Settings: name, full email address (yournetid@nd.edu)
    • In the Account Type dropdown menu, select IMAP
    • Incoming mail server: imap.gmail.com
    • Outgoing mail server (SMTP): smtp.gmail.com
    • In the 'User Name' field, enter your full email address (yournetid@nd.edu)
    • After creating these settings, clicking Next takes you to the end of the setup.
  8. In the Tools menu, select Options then Mail Setup. Under 'Email Accounts,' click E-mail Accounts.
  9. Select an account, and click Change above the list of accounts. Click More Settings, then the Advanced tab.
    • Incoming server must be 993, and must use SSL encryption.
    • Outgoing server can use 587, TLS encryption.
  10. Click the Outgoing Server tab. Make sure that 'My outgoing server (SMTP) requires authentication' is selected. The radio button 'Use same settings as my incoming mail server' should also be selected.
  11. Click OK > Next > Finish > Close > OK.
  12. Check Google's recommended client settings, and adjust your client's settings as needed.

Outlook 2010

To set up your Outlook 2010 client to work with Gmail:

  1. Enable IMAP in Gmail
  2. Open Outlook 2010
  3. Go to File > Add Account
  4. Select the 'Manually configure server settings or additional server types' radio button.
  5. Select Internet E-mail.
  6. Settings: name, full email address (yournetid@nd.edu)
    • In the Account Type dropdown menu, select IMAP
    • Incoming mail server: imap.gmail.com
    • Outgoing mail server (SMTP): smtp.gmail.com
    • In the 'User Name' field, enter your full email address (yournetid@nd.edu)
    • In the 'Password' field, enter your account password
    • Check the box next to Require logon using Secure Password Authentication (SPA)
  7. Click More Settings, then the Advanced tab.
  8. Incoming server must be 993, and must use SSL encryption.
  9. Outgoing server can use 587, TLS encryption.
  10. Click the Outgoing Server tab. Make sure that 'My outgoing server (SMTP) requires authentication' is selected. The radio button 'Use same settings as my incoming mail server' should also be selected.
  11. Click OK to exit this area
  12. Click 'Test Connection' to test IMAP configuration.
  13. Click Next, then Close.
  14. Check Google's recommended client settings, and adjust your client's settings as needed.

Outlook 2011

To set up your Outlook 2011 client to work with Gmail:

  1. Enable IMAP in Gmail
  2. Open Outlook 2011
  3. Go to Outlook > Preferences > Accounts
  4. Select the Email Account Option
  5. Enter email address as: netid@nd.edu
  6. Password: enter the account password
  7. User name: netid@nd.edu (Gmail accounts MUST have user name in this format, entering netid only will not work)
  8. Type: IMAP (default)
  9. Incoming Server: imap.gmail.com
    • Select Override Default Port and change port from 143 to 993
    • Select Use SSL to connect (recommended)
  10. Outgoing Server: smtp.gmail.com
    • Select Override Default Port and change port from 25 to 587
    • Select Use SSL to connect (recommended)
  11. Select Add Account

  12. Select More Options
  13. Authentication: User Name and Password
  14. User Name: netid@nd.edu (Gmail accounts MUST have user name in this format, entering netid only will not work)
  15. Password: enter the account password
  16. Unqualified Domain: leave this blank
  17. Select OK

  18. Exit Setup Screen

Note: The initial synchronization process may take several minutes and users will receive an error if the password authentication fails. The bottom right-hand corner of Outlook will notify the status of Outlook at all times. Intiial Setup should show that Outlook is downloading new messages after the account has been created.

Windows Mail

To set up your Windows Mail client to work with Gmail, just follow these steps:

  1. Open Windows Mail. The wizard pops up if it's your first time using it; otherwise, simply click Tools > Accounts > Add.
  2. Enter your name, then click Next.
  3. Enter your Notre Dame email address (yournetid@nd.edu), and click Next.
  4. Choose IMAP, and fill in the following information:
    • Incoming mail (POP3 or IMAP) server: imap.gmail.com
    • Outgoing e-mail server (SMTP) nam: smtp.gmail.com
    • Check 'Outgoing server requires authentication'; click Next.
  5. Enter your full email address (yournetid@nd.edu) and your Notre Dame password, and click Next.
  6. Click through (the checkbox is optional), then click Finish.
  7. Select Tools > Accounts > IMAP account, then select Properties > Advanced.
    • Enter given port numbers, check both secure connection boxes, and click Apply.
    • Click Close.
  8. Check Google's recommended client settings, and adjust your client's settings as needed.
